We are seeking an experienced and customer-focused PMIS Specialist to play a key role in the implementation and adoption of Bayside's Project Portfolio Management solution.
Within the Enterprise Project Management Office, the PMIS Specialist will be responsible for the technical configuration, data transition and deployment, and enhancement of our Project Management Information System, while also assisting with system implementation, reporting, training and business adoption activities.
Working closely with project managers, sponsors, business stakeholders, Information Technology and the system vendor, this role will ensure the PMIS remains reliable, secure, user-friendly and aligned with Bayside's Project Management Framework (PMF).
The role combines solution management, technical support, data management, business intelligence, capability development and continuous improvement responsibilities. It is ideal for someone who enjoys working across both business and technology environments and who can translate operational needs into practical business solutions that improve project delivery and organisational performance.
You will be responsible for:
- Leading the deployment and transition of a new Project Management Information System from Council's legacy system, including implementation planning, business readiness and user onboarding activities.
- Managing system configuration, data migration, data quality, testing, release management and system optimisation to ensure the platform supports effective project and portfolio management.
- Driving Project Management Information System and Project Management Framework adoption through stakeholder engagement, training, capability development, workshop facilitation and change support initiatives.
- Developing and maintaining dashboards, Power BI solutions and reporting frameworks that provide trusted project and portfolio information and support informed decision-making.
- Establishing, embedding and maintaining Project Management governance, reporting and data standards, ensuring alignment with the Project Management Framework and organisational requirements.
- Acting as the Project Management Information System subject matter expert, partnering with the System Vendor, Information Technology and business stakeholders to deliver continuous improvement, maximise system value and drive the ongoing maturity of system utilisation and Portfolio Management Framework across the organisation.

- Proven experience leading and coordinating system implementation activities, including data cleansing, validation, migration, testing, business readiness, release management and user onboarding.
- Strong data management and analytical capabilities, including experience in data governance, data quality assurance, reporting, dashboard development, Power BI solution design and performance insights.
- Experience configuring PMIS workflows, forms, user access, security settings and business processes, ensuring systems align with organisational requirements and project delivery needs.
- Demonstrated experience developing and delivering training, facilitating stakeholder workshops, supporting organisational change and driving PMIS and process adoption.
- Demonstrated ability to translate business requirements into practical system solutions, governance improvements, optimised PMIS processes and measurable business outcomes within project, portfolio management, governance, EPMO or business improvement environments.
Desirable
- Experience implementing and administering a Project Management Information System.
- Experience in local government or other complex organisational environments.
- Experience leading PMIS training initiatives and stakeholder workshops to build user capability, drive adoption and support successful business change.
- Understanding of project governance, portfolio management and project delivery lifecycles and PRINCE2.
