About the Role
We're partnering with a well-connected Strategy & Transformation recruitment firm across Sydney, Melbourne and Brisbane. As the team has grown, admin-heavy work has landed on senior consultants' desks - this role exists to take that off their plate by owning interview coordination and candidate/database management.
What you'll be doing
• Scheduling and managing candidate and client interviews across multiple hiring managers, with high accuracy on times, time zones, and details
• Owning candidate records - keeping profiles, notes, availability, and status current
• Tracking notice periods, preferences, and conversation history so consultants can pick up where they left off
• Building longlists for live roles and supporting personalised candidate approach messaging
• Reactivating dormant candidates and growing the broader talent pool between live roles
• Drafting and posting job ads (Seek, LinkedIn) and tracking ad performance
• Providing structured end-of-day updates on progress, blockers, and next steps
You'll be a great fit if you
• Have prior experience in a recruitment coordinator, resourcing, or administrative/VA role, ideally within recruitment or professional services
• Have excellent written and verbal English, and answer directly rather than circle around a question
• Are highly detail-oriented, especially with scheduling and time zones
• Have a track record of proactivity - able to self-manage and raise issues early
• Are comfortable with structured reporting and process
• Want a long-term, dedicated role rather than freelance or side-gig work
• Familiarity with recruitment CRMs/ATS, LinkedIn Recruiter, and scheduling tools
